How 1Trolley Cloud collects, uses, and protects your data.

What we collect

When you submit a contact or demo request, we collect the information you provide.

Name, company, email, phone, business type, number of locations, and the message itself. We also record basic technical metadata (IP address, browser) to prevent abuse.

How we use it

Submissions are used strictly to respond to your inquiry and prepare a tailored conversation. We do not sell or share contact data with third parties for marketing purposes.

Cookies

We use a minimal set of cookies for session integrity and analytics. The cookie banner lets you accept, customize, or reject non-essential cookies.

Terms of Service

About 1Trolley Cloud. 1Trolley Cloud (Pty) Ltd ("1Trolley", "we", "us", or "our") is a Software-as-a-Service (SaaS) platform providing digital ordering, loyalty management, and AI-driven customer insights for food and beverage businesses. Our platform is accessible at www.1trolleycloud.com and operates across the Middle East, Africa, Turkey, and Europe, including the Republic of South Africa.

Acceptance of terms. By accessing or using our platform, products, or services (collectively, the "Services"), you agree to be bound by these Terms of Service. If you do not agree, you must not use our Services. These Terms apply to all users, including venue operators ("Operators") and individual end consumers ("Customers").

Our services. 1Trolley Cloud offers three modules: 1POS — QR-based and branded digital ordering with kitchen routing and unified payment processing; 1Rewards — tiered loyalty programs, referral schemes, and cross-brand reward management; and 1Pulse — AI-powered customer cohort analysis and automated marketing campaigns.

User responsibilities. Users agree to provide accurate, complete, and current information at all times; maintain the confidentiality of their account credentials; not use the platform for any unlawful purpose or in violation of any applicable South African law, including the Electronic Communications and Transactions Act 25 of 2002 (ECT Act) and the Consumer Protection Act 68 of 2008 (CPA); and not attempt to gain unauthorised access to our systems or data.

Intellectual property. All content, software, trademarks, and technology on the platform are the exclusive property of 1Trolley Cloud (Pty) Ltd and are protected under applicable intellectual property laws. You may not copy, reproduce, or distribute any part of our platform without prior written permission.

Limitation of liability. To the maximum extent permitted by South African law, 1Trolley Cloud shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the Services. Our total liability shall not exceed the amount paid by you in the three (3) months preceding the claim.

Governing law. These Terms are governed by and construed in accordance with the laws of the Republic of South Africa. Any disputes shall be subject to the exclusive jurisdiction of the South African courts.

Changes to terms. We reserve the right to update these Terms at any time. Continued use of the Services after any changes constitutes your acceptance of the revised Terms. We will notify users of material changes via email or a notice on our website.

Pricing Structure

All prices are in South African Rand (ZAR) unless otherwise stated.

Subscription plans (Operators). Venue operators are billed on a flat monthly or annual subscription basis per location. Subscriptions grant access to one or more modules — 1POS (digital ordering), 1Rewards (loyalty management), and 1Pulse (AI insights and marketing) — each a flat monthly fee per location. Bundle plans offer discounted pricing across multiple modules, and annual subscriptions receive a discount compared to month-to-month billing. Specific pricing tiers are provided during onboarding and may vary based on the number of locations, transaction volume, and selected modules. Transaction / service fee (consumer payments). In addition to the operator subscription, a service fee calculated as a percentage of the total transaction value is applied to orders and bookings processed through the platform, covering payment processing, platform maintenance, and support. The percentage is agreed with each operator during account setup and is automatically deducted at settlement. End consumers may see an applicable service or convenience fee at checkout, clearly displayed before payment confirmation.

Payment methods. Payments are processed securely via Paystack and may include credit and debit cards (Visa, Mastercard), Instant EFT, and other Paystack-supported payment methods available in South Africa.

Taxes. All prices are exclusive of VAT unless otherwise stated. VAT will be charged at the applicable South African rate (currently 15%) where applicable and reflected on your invoice.

Billing cycle. Subscriptions are billed in advance on a monthly or annual basis. Invoices are issued electronically to the registered email address on the account.

Refund & Cancellation Policy

In compliance with the Consumer Protection Act 68 of 2008 (South Africa).

Operator subscriptions — cancellation. Operators may cancel at any time by written notice to support@1trolleycloud.com or via the account dashboard. Cancellations take effect at the end of the current billing period. No partial refunds are issued for unused days within a billing period. Annual subscriptions cancelled before the end of the term are not eligible for a pro-rata refund unless otherwise agreed in writing. Access remains active until the end of the paid period.

Consumer order and booking payments — refunds. Refund requests must be submitted within 7 business days of the transaction date. Refunds are assessed case-by-case and are subject to the specific venue operator's cancellation and return policy. Approved refunds are processed back to the original payment method within 7–10 business days. 1Trolley Cloud is not liable for venue-specific refund decisions but will facilitate communication between the consumer and the operator.

Cooling-off period. In accordance with Section 16 of the ECT Act, consumers who entered into an agreement electronically may cancel without reason and without penalty within seven (7) days of concluding the agreement.

Non-refundable items. Setup or onboarding fees, transaction or service fees already processed, and subscriptions cancelled mid-cycle (no pro-rata refunds) are not eligible for refunds.

How to request a refund. Email support@1trolleycloud.com with the subject "Refund Request – [Order/Account Reference]" and include your name, transaction date, order reference, and reason. We acknowledge requests within 2 business days and provide a resolution within 7 business days.
